PAYMENT TERMS & PAYMENT POLICY

1. PURPOSE

This Payment Terms & Payment Policy ("Payment Policy") explains how payments, invoices, partial payments, payment failures, refunds, credits, outstanding balances and related financial transactions are handled on the Zehbia’s Wardrobe – A Tailoring Platform ("Zehbia").

Zehbia may provide customised tailoring services where payment may occur at different stages of an order.

This Policy is intended to establish a transparent payment lifecycle for:

Customers;

Customer Support;

Field Officers;

Tailors;

Finance personnel;

Administrators; and

Payment/service providers.

This Policy should be read together with:

Zehbia Terms & Conditions;

Zehbia Privacy Notice;

Cancellation, Refund & Order Modification Policy;

Delivery Policy; and

Offers & Cashback Terms.

2. BUSINESS ENTITY

All payments made for Zehbia services are made in relation to:

3. CURRENCY

Unless otherwise specified, all prices displayed by Zehbia will be denominated in:

Indian Rupees (INR / ₹).

Any applicable taxes, fees or other charges should be displayed or communicated to the customer before payment wherever reasonably practicable.

4. PRICING

The price of a tailoring order may depend on factors including:

Garment type;

Quantity;

Stitching requirements;

Design complexity;

Fabric requirements;

Additional services;

Alterations;

Pickup/home visit;

Delivery;

Express/priority service;

Applicable taxes;

Applicable discounts;

Offers;

Cashback;

Other customer-selected options.

The final payable amount should be presented to the customer before confirmation of the relevant paid service, subject to legitimate adjustments described below.

Where technically possible, Zehbia should display a clear breakdown such as:

6. PRICE CONFIRMATION

Before an online payment is initiated, the customer should be able to review:

Order/service;

Quantity;

Price;

Discounts;

Applicable charges;

Taxes, where applicable;

Amount payable;

Payment method.

The customer should then explicitly proceed with payment.

7. PAYMENT METHODS

Zehbia may support one or more payment methods, including:

UPI;

Debit cards;

Credit cards;

Net banking;

Wallets;

Payment links;

Other supported digital payment methods;

Cash, where specifically enabled by Zehbia.

Available payment methods may vary based on:

Customer location;

Payment provider;

Transaction amount;

Technical availability;

Security controls.

8. PAYMENT GATEWAY

Zehbia may use a third-party payment gateway to process online transactions.

The final payment gateway used by Zehbia will be identified in the relevant application/website and documentation.

The payment gateway may process information necessary to complete the transaction.

Zehbia should not store sensitive payment credentials such as:

Card CVV;

Card PIN;

Internet banking passwords;

UPI PIN.

9. PAYMENT AUTHENTICATION

Some payment methods may require authentication by the customer's:

Bank;

Card issuer;

UPI provider;

Payment service provider.

The customer is responsible for completing any authentication required by their selected payment method.

Zehbia will not ask customers to disclose their:

UPI PIN, ATM PIN, card PIN, password or OTP to customer-support personnel.

10. ORDER PAYMENT MODELS

Zehbia may support:

A. Full Payment

The entire order amount is paid before production or delivery.

B. Advance Payment

A specified amount or percentage is paid initially.

C. Partial Payment

The customer pays part of the amount and the remaining balance becomes payable at a later stage.

D. Pay at Delivery / Collection

Where enabled, the customer may pay at the applicable service stage.

The applicable payment model will be displayed before confirmation.

11. ADVANCE PAYMENT

Where Zehbia requires an advance payment, the order may not be treated as fully confirmed until the required advance has been successfully received.

Example:

Order Value ₹2,000

Required Advance ₹1,000

Paid ₹1,000

Outstanding ₹1,000

The customer will be able to see the outstanding amount in the order/payment history.

12. PAYMENT CONFIRMATION

An order payment should be considered successful only when Zehbia receives an appropriate confirmation from the payment system.

A screen showing:

"Payment Processing"

does not necessarily mean that payment has succeeded.

Customers should avoid making repeated payments until the transaction status has been verified.

13. PAYMENT STATUS

Zehbia may use payment statuses such as:

PENDING

PROCESSING

SUCCESS

FAILED

CANCELLED

REFUNDED

PARTIALLY_REFUNDED

PARTIALLY_PAID

OVERDUE

DISPUTED

The exact statuses used internally may differ while preserving the same underlying meaning.

14. PAYMENT FAILURE

A payment may fail because of:

Bank rejection;

Insufficient funds;

Payment gateway error;

Network interruption;

Authentication failure;

Incorrect payment information;

Transaction timeout;

Security restrictions;

Payment-provider outage.

If payment fails, Zehbia may keep the order in:

Payment Pending

until payment is successfully completed or the order is cancelled.

15. MONEY DEBITED BUT PAYMENT SHOWS FAILED

If money has been debited from the customer's account but Zehbia shows:

Payment Failed / Pending

the customer should contact Zehbia rather than making repeated payments.

Zehbia may verify the transaction with the payment provider.

If the transaction is confirmed unsuccessful, the bank/payment provider may reverse the amount according to its applicable process.

16. DUPLICATE PAYMENTS

If the same order is accidentally paid more than once, Zehbia will investigate the transactions.

Once the duplicate payment is verified, the excess amount may be:

Refunded;

Adjusted against an outstanding Zehbia amount; or

Otherwise resolved with the customer's agreement.

17. PAYMENT RECEIPT

After a successful payment, Zehbia may provide:

Payment confirmation;

Transaction reference;

Order reference;

Amount paid;

Date/time;

Payment method;

Invoice/receipt, where applicable.

Customers should retain payment references for future enquiries.

18. INVOICES

Where an invoice is applicable, Zehbia may issue an invoice containing information such as:

KHADIM SOLUTIONS;

Zehbia’s Wardrobe branding;

Invoice number;

Invoice date;

Customer details;

Order number;

Description of services;

Quantity;

Price;

Applicable tax;

Discount;

Total amount;

Payment status.

Tax-related information will be handled according to the applicable requirements.

19. TAXES

Prices displayed by Zehbia may include or exclude applicable taxes depending on how the price is presented.

Where applicable, taxes will be shown separately or incorporated into the displayed price in accordance with applicable law.

Zehbia reserves the right to correct tax calculations where a genuine tax or pricing error has occurred.

20. ADDITIONAL CHARGES

Additional charges may arise from customer-requested services such as:

Additional alterations;

Additional stitching;

Design modifications;

Additional fabric/material;

Express processing;

Additional pickup;

Re-delivery;

Other separately requested services.

Where reasonably practicable, Zehbia will inform the customer of the additional charge before performing the additional paid work.

21. CUSTOMER APPROVAL FOR ADDITIONAL CHARGES

Where an additional charge requires customer approval, Zehbia may obtain approval through:

Application;

Website;

Authenticated account;

Customer support;

SMS/email;

Other recorded communication.

The additional amount should be recorded against the relevant order.

22. PAYMENT HISTORY

Customers should have access to their payment history through the Zehbia platform, where technically available.

Payment history may include:

23. ORDER BALANCE

Where partial payment is supported, Zehbia should clearly display:

Total Order Value ₹5,000

Amount Paid ₹2,500

Amount Refunded ₹0

Credit/Cashback ₹500

Outstanding Balance ₹2,000

The exact calculation should depend on the applicable payment rules.

24. OUTSTANDING PAYMENT

If an order has an outstanding amount, Zehbia may:

Display the outstanding amount;

Send payment reminders;

Restrict certain subsequent order actions;

Require payment before delivery, where disclosed;

Require payment before production progresses, where disclosed.

Customers should not be charged twice for the same amount.

25. PAYMENT DEADLINES

Where a payment deadline applies, Zehbia will communicate:

Amount due;

Due date;

Order;

Consequence of non-payment.

If payment is not received within the applicable period, the order may be placed on hold or cancelled in accordance with the relevant policy.

26. CASH PAYMENTS

If Zehbia enables cash payments, the Field Officer or authorised representative may record:

Amount collected;

Date/time;

Order ID;

Payment status;

Collector identity;

Receipt/reference.

Unauthorised personnel should not collect cash on behalf of Zehbia.

Customers should request a receipt for any cash payment.

27. FIELD OFFICER PAYMENT COLLECTION

Where Field Officers are authorised to collect payments, the system should record the collection against the specific order.

Recommended workflow:

Field Officers should not be permitted to manually alter order prices without appropriate authorisation.

28. ADMIN PRICE CHANGES

Administrative users may be given authority to:

Create price lists;

Update service prices;

Apply approved discounts;

Approve exceptional charges.

Price changes should be:

Permission-controlled;

Logged;

Auditable.

29. PAYMENT REFUNDS

Refunds will be handled in accordance with the Zehbia Cancellation, Refund & Order Modification Policy.

Depending on the circumstances, a refund may be:

Full;

Partial;

Reversed;

Credited;

Adjusted.

30. REFUND TO ORIGINAL PAYMENT METHOD

Where practical, approved online refunds will generally be returned to the original payment source.

For example:

UPI → Original UPI-linked payment route

Card → Original card/payment route

The actual credit timeline depends on the payment provider and financial institution.

31. REFUND STATUS

The system may display:

REFUND_REQUESTED

REFUND_UNDER_REVIEW

REFUND_APPROVED

REFUND_PROCESSING

REFUND_COMPLETED

REFUND_FAILED

REFUND_REVERSED

Customers should be able to see the current status where appropriate.

32. REFUND TRANSACTION REFERENCE

For every processed refund, Zehbia should retain:

Original payment ID;

Original transaction ID;

Refund ID;

Refund amount;

Refund date;

Refund gateway reference;

Refund status.

This is important for customer support and financial reconciliation.

33. PAYMENT DISPUTES

If a customer believes a payment is incorrect, the customer should contact Zehbia promptly.

The customer may provide:

Order ID;

Payment ID;

Transaction ID;

Amount;

Date;

Payment method;

Description of the issue.

Zehbia will investigate the matter using available transaction records.

34. CHARGEBACKS

Customers may have rights to raise payment disputes or chargebacks through their bank/card/payment provider.

Where a chargeback is raised, Zehbia may provide transaction and order documentation to the relevant financial/payment institution.

35. FRAUD PREVENTION

Zehbia may implement reasonable payment-security measures to detect:

Suspicious transactions;

Multiple failed payments;

Payment manipulation;

Cashback abuse;

Coupon abuse;

Account takeover;

Unusual transaction patterns.

Transactions may be temporarily held for verification where reasonably necessary.

36. PAYMENT ACCOUNT SECURITY

Customers must not:

Share OTPs;

Share UPI PINs;

Share card PINs;

Share passwords;

Allow unauthorised persons to access their account.

Zehbia employees will not ordinarily require such credentials.

37. CASHBACK AND PAYMENT

Cashback may be treated separately from actual cash payments.

For example:

Order Value ₹2,000

Discount ₹200

Cashback Applied ₹100

The exact calculation will depend on the applicable offer.

38. WALLET / ZEHBIA CREDIT

If Zehbia introduces a wallet or account-credit feature, the applicable terms will specify:

How credit is earned;

How credit is used;

Expiry;

Transferability;

Refundability;

Cancellation treatment;

Restrictions.

Unless expressly stated otherwise, promotional credits should not be treated as bank deposits or cash balances.

39. OFFERS AND DISCOUNTS

Offers may include:

Percentage discounts;

Fixed-value discounts;

First-order offers;

Referral benefits;

Seasonal promotions;

Cashback;

Loyalty benefits.

Each offer may have specific eligibility conditions.

40. PRICE ERRORS

If Zehbia accidentally displays an incorrect price due to a technical or human error, Zehbia may take reasonable steps to correct the error.

If an incorrect price has already been paid, Zehbia may contact the customer regarding:

Confirmation at the correct price; or

Cancellation/refund.

Mandatory consumer rights remain unaffected.

41. PAYMENT PROVIDER OUTAGES

Zehbia is not responsible for delays caused solely by:

Bank outages;

UPI outages;

Payment gateway outages;

Card network issues;

Internet infrastructure failures;

Other external financial-system failures.

Zehbia will nevertheless make reasonable efforts to assist customers in resolving transaction-status issues.

42. PAYMENT DATA AND PRIVACY

Payment-related personal data will be handled according to the Zehbia Privacy Notice.

Zehbia may retain payment information necessary for:

Accounting;

Tax;

Reconciliation;

Refunds;

Customer support;

Fraud prevention;

Legal compliance;

Dispute resolution.

43. FINANCIAL RECORDS

Zehbia may maintain records of:

Orders;

Invoices;

Payments;

Refunds;

Discounts;

Cashback;

Credits;

Chargebacks;

Adjustments.

Such records may be retained for the period required by applicable law or legitimate business/accounting requirements.

44. PAYMENT RECONCILIATION

The Finance/Admin system should periodically reconcile:

Zehbia Orders

Payment Records

Payment Gateway

Bank Settlement

Discrepancies should be identified and investigated.

45. RECONCILIATION STATUS

Recommended internal statuses:

UNRECONCILED

MATCHED

PARTIALLY_MATCHED

RESOLVED

46. ADMIN PAYMENT PERMISSIONS

Not every administrator should automatically have the ability to modify payment information.

Recommended roles:

All financial overrides should be logged.

47. MANUAL PAYMENT ENTRY

Zehbia may allow authorised administrators to manually enter payments, particularly for:

Cash payments;

Offline transactions;

Historical orders;

Corrective entries.

Manual entries must require:

Order ID;

Amount;

Payment method;

Date;

Reference;

Reason;

Entered by;

Approval where required.

48. MANUAL REFUND ENTRY

Manual refund records should require appropriate authority.

Recommended fields:

49. AUDIT TRAIL

Zehbia should maintain an audit trail for financial changes, including:

Price changes;

Discounts;

Wallet/credit adjustments;

Payment-method changes.

Records should identify:

Who → What → When → Previous Value → New Value → Reason

50. CUSTOMER RESPONSIBILITY

Customers are responsible for:

Entering accurate payment information;

Using authorised payment methods;

Completing bank/payment authentication;

Checking the final amount before payment;

Keeping transaction references;

Reporting suspicious transactions promptly.

51. NO REQUEST FOR CONFIDENTIAL PAYMENT CREDENTIALS

Zehbia personnel should never request:

UPI PINATM PINCard PINCVVOnline Banking Password

for ordinary order-support purposes.

Customers should immediately report any person claiming to be a Zehbia representative who requests such information.

52. PAYMENT COMMUNICATIONS

Zehbia may send payment-related notifications such as:

Payment initiated;

Payment successful;

Payment failed;

Payment pending;

Refund initiated;

Refund completed;

Outstanding payment reminder;

Invoice available.

These are considered service/transaction communications rather than ordinary promotional communications.

54. PAYMENT FRAUD REPORTING

If a customer believes their Zehbia account or payment has been compromised, they should contact Zehbia immediately.

The customer should provide, where available:

Order ID;

Transaction ID;

Date/time;

Amount;

Payment method;

Description of suspected fraud.

Customers should also contact their bank/payment provider immediately where financial fraud is suspected.

55. LIMITATION REGARDING THIRD-PARTY PAYMENT SYSTEMS

Zehbia uses external payment infrastructure where applicable.

Once a payment is processed through a third-party financial institution, certain aspects of the transaction may be subject to that provider's:

Terms;

Security controls;

Processing timelines;

Refund procedures.

Zehbia will assist customers with transaction-related issues within its reasonable control.

56. PAYMENT POLICY AND CONSUMER RIGHTS

Nothing in this Payment Policy is intended to:

Remove statutory consumer rights;

Exclude mandatory legal remedies;

Override applicable Indian law;

Prevent lawful complaints or disputes.

Where mandatory law provides greater protection to a customer, the applicable law will prevail.

57. POLICY CHANGES

Zehbia may update this Payment Policy when there are changes to:

Payment methods;

Payment providers;

Pricing processes;

Refund mechanisms;

Applicable law;

Financial controls;

Business operations.

The latest version will be published through the applicable Zehbia platform.
