1. Purpose

This Policy establishes how Zehbia retains, archives and deletes information collected or generated through its website, mobile application and tailoring operations.

Zehbia follows a data minimisation and purpose-based retention approach and does not intend to retain personal data longer than reasonably necessary for the relevant purpose, unless retention is required by law or legitimate business requirements.

The DPDP Act provides a right to erasure, subject to retention being necessary for a specified purpose or compliance with applicable law.

2. Types of Information Covered

This Policy may apply to:

Customer account information

Contact and address information

Measurement profiles and measurement history

Booking and order information

Fabric/pickup information

Photos and reference images

Payment and invoice records

Communications and support records

Consent records

Security and authentication logs

Audit and operational records

3. Retention Principles

Zehbia will generally:

Collect and retain only information reasonably required.

Retain information according to its purpose and applicable requirements.

Delete or anonymise information when it is no longer required.

Maintain necessary records for legal, tax, accounting, fraud-prevention or dispute purposes.

Apply additional restrictions to sensitive operational information where appropriate.

4. Indicative Retention Framework

Note: Exact technical retention periods may be defined internally through the Zehbia Data Retention Schedule and may vary by data category.

5. Account Deletion

Customers may request deletion of their account and associated personal data through the available account or support mechanism.

Upon receiving a valid request, Zehbia will assess the information and delete or anonymise information that is no longer required, subject to applicable legal or legitimate retention requirements.

6. Legal & Operational Exceptions

Information may be retained where necessary for:

Compliance with law

Tax/accounting requirements

Fraud prevention

Security investigations

Legal claims or disputes

Payment reconciliation

Outstanding orders or transactions

Enforcement of contractual rights

Such retained information will not be used for unrelated purposes merely because it remains in a legally required archive.

7. Backup Systems

Deleted information may remain temporarily in secure backups until the applicable backup cycle expires.

Where technically feasible, deleted information will be excluded from active processing while awaiting backup expiration.

8. Secure Disposal

When retention expires, Zehbia will use appropriate methods to:

Delete digital records

Securely dispose of physical records

Remove unnecessary copies

Anonymise information where deletion is impractical or unnecessary
